Learn how to use Universal Search to find records, folders, tasks, and tags across all your accounts instantly. This guide covers global search navigation, hardware scanning, and connectivity requirements for searching in the field.

Universal Search allows you to find exactly what you need across your entire organisation without the hassle of manually switching between accounts.

Where to start searching

Depending on where you are in the app, your starting point will differ:

  • From the Accounts Dashboard: Tap the Magnifying Glass icon. You will see two options: Search Accounts or Search Records.

  • From Inside an Account: Tap the Magnifying Glass icon at the top of the screen.


πŸ” Searching for an Account

If you have a large number of accounts and need to jump to one quickly, use the Search Accounts option on the Dashboard:

  1. Tap the Magnifying Glass icon on the Dashboard.

  2. Select Search Accounts.

  3. Type the name of the account you need.

  4. Tap the result to be taken directly to that account's dashboard.


πŸ”Ž Searching for Records, Folders, Tags, or Tasks

The process for searching items is the same whether you start from the Dashboard (by selecting Search Records) or from within an account.

1. Select your search area

By default, the search focuses on your current account. To change this:

  • Tap the 'Change' option next to the current account selection.

  • Choose 'All Accounts' for a global search, or select specific individual accounts.

2. Enter your search or use Hardware Scanning

You can type your search term or select a hardware scanning option for faster results in the field:

3. Understanding Search Results

  • Default View: Text-based searches automatically default to Records.

  • Changing Filters: On the search results screen, you can tap to change the filter to view matching Folders, Tags, or Tasks.


🧭 Seamless Navigation

When you select a result from your search (whether typed or scanned), the app will:

  1. Prompt you to switch to the relevant account.

  2. Automatically navigate you directly to that specific Record, Task, Tag, or Folder view.


πŸ“Ά Connection Requirements

It is important to note the difference between local and global searching regarding your internet connection:

  • Offline Search: If you are searching within a single, synced account, the search will function normally without an internet connection.

  • Universal Search: Searching across All Accounts or multiple selected accounts requires an active internet connection (Wi-Fi or mobile data). This ensures the app can pull the most up-to-date results from across your entire organisation.
