How to Accept Records with PartnerHub

PartnerHub allows records, associated data, and history to be shared seamlessly between accounts. This guide will walk you through setting up your account and accepting shared records from your partner.

When records are shared with you, they are automatically available within the PartnerHub β€˜Shared with me’ section of your account. PartnerHub also empowers you to share your own records with others or invite new partners to connect and collaborate.


Step 1: Set Up Your Account

If you do not already have a Papertrail account, use the email link sent by your partner to create one.

  1. Enter Your Details: Fill in your First and Last name.

  2. Security: Create a secure password.

  3. Terms: Review and agree to the Terms & Conditions.

  4. Click the Register button to be taken to your new Papertrail account.


Step 2: Access PartnerHub

Once logged in, you need to navigate to PartnerHub area to view pending shares.

  1. Click the three grey dots in the top right corner of your account dashboard.

  2. Select PartnerHub from the dropdown menu.

  3. You will be navigated to the Partners page. Here you can see your Active Partners (the partner who sent you the records), as well as tabs for Inactive, Received, and Sent Invitations.


Step 3: Select and Move Records

To bring the shared data into your own workspace, you must manually move the items from the shared view.

  1. View Shares: Click the 'Shared with me' box to see all folders and records that have been shared with you.

  2. Select Items: Use the checkboxes next to specific records or folders to select them.

    πŸ’‘ Tip: Select all records & folders by clicking the checkbox in the header row.

  3. Move Items: When you are ready, click the Move Items button.

  4. Choose Destination: You will be prompted to choose a folder within your account. You can select a premade folder or create a new one by clicking the Folder + icon.

  5. Confirm: Click Next. A green tick status bar will appear, confirming that the records have been successfully moved to your account.


Step 4: Verify Your Records

Finally, ensure the records are correctly positioned within your account structure.

  1. Click the Account button in the sidebar and select your account.

  2. Navigate to the folder where you moved the records.

  3. Look for the blue PartnerHub (shaking hands) icon. This icon indicates that the records are shared or that a folder contains shared data.

You can now move these records into other folders, edit them, or add inspections as required.
