How to inspect a record using a checklist on the mobile app

Please note - you will only be able to carry out an inspection with a checklist if the record has checklist(s) assigned to it to the record(s) before you carry out inspections on one or more records with that checklist.

Step by Step

Navigate to the record(s) you want to inspect. Select the record(s) using the circle icon on the left hand side of the record. Click Add inspection at the bottom of the screen.

In the add inspection window, click Add Checklist to choose the checklist you want to use in the inspection. The checklists in this option will only be the checklists assigned to the record.

If you are inspecting multiple records, you can copy the checklist down to the selected records using the copy down icon.

Click on the small grey boxes to the left of the checks to mark each of them as completed. The box will change from grey to green.

You can add comments to each check using the Pen icon on the right hand side of the check. Here you can also upload a photo or a file to further evidence your inspection.

If you are inspecting multiple records and they have similar checklist results, you can use the the copy down icon to apply the same results to all the next records in the list. However, if the records have different checklist outcomes don't forget to unselect the relevant checkboxes on that record.

Please note - you still need to choose an overall state for the inspection and, if necessary, write in any general comments, set a next inspection date or add a file/photo. 

There are two options of saving your inspection - submitting the complete inspection or saving a draft inspection. Click Save. If you were able to complete the entire inspection click Submit. If you weren't able to complete the entire inspection, click Save draft. Drafts can be continued on the next inspection.

Once the inspection is saved as a draft or submitted, you will see a summary in the record activity with the number of checks complete, e.g. 12/13 checks. The full details of the checklist including the check comments are only currently available to view on the web application.
