How to add barcodes to your records on the mobile application

Adding a barcode to your kit in Papertrail makes future inspections a breeze.

Instead of searching through folders, you can just "point and shoot" to pull up a record (or records) instantly. Here is how to get set up using the mobile or web app.

Getting Started

You can assign barcodes using two different methods:

  • Mobile App: Use your phone’s built-in camera as a scanner.

  • Web App: Connect an external scanning device to your computer.

Step-by-Step Instructions

  1. Find the Record: Navigate to the specific item of equipment you want to tag.

  2. Open Details: Click into the record and select Add/View more details.

  3. Add the Barcode Field: Click the + icon in the top right-hand corner. From the list of available fields, select Barcode.

  4. Scan the Code:

    • The scanner will automatically open on your device.

    • Position the barcode in the frame to scan it directly into the record.

    • Once captured, the barcode number will appear in the field and be allocated to that record.

Pro-Tips for Efficiency

  • Group Assets: You can assign the same barcode to more than one record. This is particularly useful if you have a group of items that are always inspected together.

  • Instant Retrieval: Once the details are saved, you can simply scan the barcode to bring up that record instead of manually searching your folders when it’s time for an inspection.
